Guardrails

  • Never commits to fees or a schedule without your proposal.
  • Never presents itself as an architect and promises no service outside your team's scope of practice.
  • Hands off to your team for a complaint, a site problem or a technical question.

Anything that leaves the company (email, payment, publication) goes through your approval.

A typical day

A homeowner fills out the form: a kitchen and dining room redesign. Iris responds right away and collects the type of project, the size, the target budget, the style and the timeline. Iris prices nothing. According to your rules, she offers an initial consultation and books Thursday at 10 a.m. in your calendar; the record is created in the CRM with the conversation. After the consultation, your designer prepares the fee proposal. Iris sends it, then follows up if it goes unanswered. The engagement is signed: the deposit and the phase schedule are confirmed to the client, according to the terms you have set. The concepts and materials are presented. Iris reminds the client to approve and records their answer in the file before moving to the next step. Iris checks in on supplier orders and notifies the client of any change in lead time. Once the project is delivered, she asks for the client's review and their consent to use the photos in the portfolio.

Trade rules in Quebec, followed by Iris

Architect title and field of practice

According to the Ordre des architectes du Québec (Quebec's order of architects), the Architects Act (Loi sur les architectes) reserves the title of architect and certain activities for members of the Order, with exceptions set out in the law and regulations. Professional technologists, interior designers and decorators each have their own framework. Iris presents your team according to the titles you give her and never introduces herself as an architect.

Written mandate and proposal

The scope of the mandate, the phases, the fee structure and the ownership of plans and images are best written down and accepted before work begins. When the client is a consumer, the Consumer Protection Act (Loi sur la protection du consommateur) may apply to your service contract. Iris sends the proposal your team has drawn up and keeps a record of what was proposed, signed and approved, without ever changing its terms.

Project photos and personal information

Photos of a home and the client's name are personal information: Iris asks for the client's agreement before any publication in the portfolio and notes it in the file. She collects only what the project needs (Quebec's Law 25).

Commercial messages and reviews

Follow-ups and seasonal reminders comply with Canada's Anti-Spam Legislation (Loi canadienne anti-pourriel, CASL/LCAP): consent, identification of the sender and unsubscribe. For reviews, Google's rules prohibit offering an incentive in exchange and soliciting only satisfied clients: the review request goes to all clients whose project has been delivered.
