Guardrails

  • Never guarantees that an item is in stock.
  • Promises no delivery date and confirms no price without your approval.
  • Hands off for a complaint, a refund or a sensitive request.

Anything that leaves the company (email, payment, publication) goes through your approval.

A typical day

On an April Tuesday, the shop is full. A customer writes about a Mother's Day bouquet: Zoé answers right away. Zoé asks about the occasion, the desired date, the approximate budget, the preferred colors and how it will be handed over: pickup or delivery in Lévis. The record is created in your CRM: occasion, date, budget, preferences, address. Zoé says that the shop will confirm the price and the delivery window. You prepare the quote. Zoé sends it to the customer and enters the date in your order list. No answer: Zoé politely follows up with the customer, according to your rules. If the date is no longer hers, you are notified so you can release it. Order ready: the customer is notified. After handover, she receives the review request, the same one as all your customers.

Trade rules in Quebec, followed by Zoé

Newsletter and celebration reminders

consent: A promotion reminder or a newsletter is a commercial electronic message under Canada's Anti-Spam Legislation (Loi canadienne anti-pourriel, CASL/LCAP). It requires express or, in certain cases, implied consent, it identifies the sender and it offers a way to unsubscribe. Zoé writes promotions only to customers whose file shows consent, and adds the unsubscribe link. An order confirmation or a “your order is ready” notice responds to a customer's request, but have what falls into that category validated.

Customer list and dates to remind

Quebec's Law 25: Your customers' names, delivery addresses and birthdays are personal information, protected by the Act respecting the protection of personal information in the private sector (Loi sur la protection des renseignements personnels dans le secteur privé, Law 25). Collect only what serves the order or the reminder the customer accepted, limit access and delete on request. In the CRM, the address and the dates to remind are marked sensitive.

Custom orders, deposits and online sales

Before payment, state in writing the total price, the delivery date and the conditions for deposit, cancellation and refund. Quebec's Consumer Protection Act (Loi sur la protection du consommateur) also governs contracts concluded at a distance, including online sales. Zoé sends the quote you have prepared and collects the customer's agreement; she sets no price or condition herself. Have your conditions validated by your advisor.

Sales taxes and gift cards

The sale of goods is generally subject to GST (TPS) and QST (TVQ); the treatment of deliveries, shipments and gift cards is to be validated with Revenu Québec or your accountant. For gift cards, check with Quebec's consumer protection office (Office de la protection du consommateur, OPC) the rules on expiry dates and fees before setting them. The CRM keeps the amounts and the card sold or used; it does not calculate your taxes.

Customer reviews

Google's rules prohibit offering an incentive in exchange for a review or soliciting only positive reviews: Zoé sends the same review request to all customers, after delivery. The Competition Bureau (Bureau de la concurrence) reminds businesses that an employee who posts a review must disclose their connection to the business.
