Guardrails

  • Gives no personalized tax advice: the accountant validates.
  • Applies your confidentiality rules.
  • Never sends a document to the wrong person: each client sees only their own file.

Anything that leaves the company (email, payment, publication) goes through your approval.

A typical day

Yes, an AI can answer the phone for an accounting firm: when the office is closed or the team is buried in tax returns, Leo answers, explains your services and fees according to your rate grid, schedules the meeting in the right accountant's calendar, sends the list of documents by text and opens the file in your CRM. Any tax question goes to your accountant.

Trade rules in Quebec, followed by Leo

Professional secrecy

it also applies to tools: The Professional Code (Code des professions) requires professionals to respect the secrecy of all confidential information that comes to their knowledge in the practice of their profession (art. 60.4). If you are a member of a professional order, this secrecy follows you in your choice of providers. Leo applies your confidentiality rules, never sends a document to the wrong person, and answers only from your documents. Have your setup validated by your professional order or your advisor.

Quebec's Law 25

assess the project before connecting the agent: Every business must carry out a privacy impact assessment (évaluation des facteurs relatifs à la vie privée) for any project to acquire or develop an information system that involves personal information (art. 3.3). It collects only the necessary information (art. 5), informs the person of the purposes of the collection (art. 8) and takes security measures appropriate to its sensitivity (art. 10). Information is sensitive when, by its nature or the context of its use, it gives rise to a high degree of reasonable expectation of privacy (art. 12): treat income statements and social insurance numbers this way.

Providers

a written contract and the question of outside Quebec: You may entrust information to a provider without the client's consent if it is necessary for its mandate, provided you do so in writing and state in the contract the measures that protect confidentiality (art. 18.3). Before information is communicated outside Quebec, a privacy impact assessment (évaluation des facteurs relatifs à la vie privée) is required (art. 17). Ask any provider in writing, ZeniTech included, where your data travels.

A document sent to the wrong person is an incident

A business that has reason to believe that a confidentiality incident has occurred must take reasonable measures to reduce the risk of harm. If the risk of harm is serious, it promptly notifies the Commission d'accès à l'information (Quebec's access to information commission) and the persons concerned (art. 3.5). That is why, with Leo, each client sees only their own file, and every access to your clients' documents is monitored.

Deadlines and follow-ups

facts, not advice: For the 2025 tax year, the Canada Revenue Agency (Agence du revenu du Canada, ARC) set April 30, 2026 as the filing and payment deadline, and June 15, 2026 as the filing deadline for a self-employed person or their spouse or common-law partner; payment was still due April 30. Leo reminds clients of the dates and of the list of documents that your firm approves, for the ARC as well as for Revenu Québec, and never says what to declare. As for text messages, a request for documents for an ongoing engagement does not require prior consent (Canada's Anti-Spam Legislation, Loi canadienne anti-pourriel, CASL/LCAP, art. 6(6)b)); a promotion does (art. 10(9)a)).
